Support the institute leader in every aspect to ensure a smooth running of the IRBM, e.g. responding to (urgent) requests

Execute general secretarial tasks, e. g. dealing efficiently with communication and correspondence, travel and visitor management

Administration of grants: communication with the grant manager and HR, overview of the finance status of the contracts for the current and following year, preparation of the personnel overview, preparation of reports

Maintenance of current contracts: communication with students and HR, documentation

Payment of bigger invoices for services, repairs etc.: communication with grant manager and purchase department

Payment of new equipment: search for offers, communication with companies, purchase department and institute colleagues

Your qualifications

Proven work experience as an assistant/secretary with a training as a multilingual assistant or completed commercial apprenticeship (kaufmännische Ausbildung)

Ideally, work experience in the public service

Excellent verbal and written communication skills in German and English

Good knowledge of office management systems and procedures

MS Office and exceptional computer literacy

Outstanding organisational and communication skills

Ability to multitask and prioritize daily workload as well as to work under tight deadlines

Willingness to work in an international team
